The Ultimate Client Onboarding Checklist in Notion

Introduction

The period right after a client signs the contract is critical. It's called the "Buyer's Remorse" window. If you disappear for a week to "set things up," they get nervous.

If you send them a link to a beautiful, organized Notion portal within 24 hours, they feel relieved. They know they're in good hands.

Phase 1: The Internal Setup

Before inviting anyone, you need to structure the data.

1. Duplicate Master Template

Never start from scratch. Have a "Master Client Page" template with your standard databases (Tasks, Assets, Docs) pre-linked.

2. Filter Views by Client

Go into every linked database view on that new page and add a filter: Client = [New Client Name]. This is crucial for security.

Phase 2: The Client Welcome

The top of your Notion page should be a "Welcome Kit."

  • Video Walkthrough: A 2-minute Loom video explaining how to use the portal.
  • Key Contacts: Photos and emails of the team members working on the account.
  • Quick Links: Links to the contract (PDF), invoice portal, and scheduler.

Phase 3: Access & Permissions

This is where most agencies trip up.

If you invite the client as a Guest to the page, make sure you double-check the permissions.

  • Docs Database: "Can View" (You don't want them deleting contracts).
  • Tasks Database: "Can Comment" (Let them ask questions on tasks, but not change due dates).
  • Assets Database: "Can View" (Read-only for downloading files).
